Finding a venue for a conference, meeting or corporate event can be a time consuming process. There are thousands of venues in the UK alone and when choosing a hotel or conference centre there are many factors to consider, identifying the right hotel or venue location can mean the difference between the events success and failure.
Conference Venue Requirements
Identifying the main purpose of the conference, the number of delegates attending and what the meeting aims to achieve will help you decide on the venue. Also consider what facilities you need.
Hotel Location and Transport
The location of the venue can be all important. Is the venue central for the majority of your delegates? Can the venue be accessed via rail, tube or bus? If there are international delegates attending what distance is the venue from the airport? Do you need to arrange transport for the delegates?
Event Budget
Have an estimated idea of your conference budget. Remember to consider all costs involved such as accommodation, meeting room hire, lunch, evening meals, meeting refreshments and business facilities.
Delegate Registration
Do you require a delegate registration area? This would provide your attendees with a convenient and straightforward way to register for the event and their accommodation. Do you require disabled access?
Venue Accommodation
Does the venue provide sufficient accommodation? Is accommodation provided all in one location? Do you require double rooms or mainly single? Consider the cost of the accommodation and what is included in the delegate rate such as breakfast use of the hotel facilities.
Meeting or Conference Rooms
Do you require one main conference room and what room layout do you require? Example room layouts include board room, theatre, conference, U shape, class room, cabaret, hollow square or studio. Do you require breakout rooms and how many? Are the rooms attached to the main conference room or will the delegates have to move to different floor or building? Meeting Room Equipment Required Consider the equipment that your delegates may require such as internet access, LCD projector, OHP and screen, rear projection, flip chart or slide projector screen and stationary.
Conference Business Facilities
Check that the venue provides the necessary business facilities such as high speed internet access, fax and photocopying machines and are the facilities available in the accommodation rooms and are they available 24hs.
Venue Leisure Facilities
Many delegates will enjoy the leisure facilities that the conference venue may offer such as a restaurant, gym, pool, health spa, bar, golf facilities or other team building amenities.
Green Venues
You may wish to consider the environmental impact of your event. Certain venues specifically cater for eco friendly conferences and meetings every thing is considered to building materials used renewable energy sources and recyclable products.
